What We Collect

When you apply through apply.brightbeam.io, we collect:

• Your name, email address, phone number, and timezone
• Your expected hourly rate and availability: hours per week, commitment, earliest start, current employment status and notice period
• Your remote work setup: self-reported internet speed, whether you have backup power, and the general spec of your computer
• Your self-rated English level. If we later use an English test, we will tell you before you take it and store only the score and the provider
• Answers to role-specific questions and, if you send one, a cover letter
• Your resume (PDF) and any LinkedIn or portfolio links you give us
• Your IP address and the time you gave consent
• If you choose to connect Discord, your Discord username and ID
• If you go through a Loom or written pre-screen, your recording link and answers
• The decisions our team makes about your application: the stage you reached, a reason code if we did not move forward, ratings from interview or recording reviews, and reviewer notes

When you apply to a BrightBeam role on a job board such as Indeed, we receive your resume and the details you gave that job board through our employer account there. We do not receive anything you did not submit to that posting. The first email we send you says how we got your resume and how to ask us to delete it. That email also contains a link where you can choose to keep your profile on file or delete it, with no login.

We do not ask for your date of birth, a photo, a government ID number, your home address, marital status, religion or health information. If your resume contains any of these, we do not use them.

Returning applicants. If you applied before with the same email address, we recognize that and show our reviewer your earlier applications: the role, the dates, the stage you reached and the outcome. You do not need to tell us; we work it out from the email address. We never ask how many times you have applied.

Why We Collect It

We use your information only to evaluate you for roles at BrightBeam and with the clients we place operators with. Specifically:

• To review your qualifications and experience
• To contact you about your application status
• To match you to other open roles while we hold your data
• To grant community roles in our Discord if you connect it
• To check that our screening treats applicants fairly. We keep pass rates and stage rates grouped by country and by where the application came from, so we can see and correct any pattern. This uses no names

Who Processes Your Data

Your data is stored on Cloudflare's network, primarily in the United States, and handled by these providers on our behalf:

• Cloudflare: database for application details and private storage for resume files
• Anthropic: AI-assisted review of resumes and answers, as described above
• Resend: sends our emails to you
• ClickUp: our internal workspace; you are added to it only if you are placed with a client
• Discord: only if you connect your account, to grant community roles
• Indeed and other job boards: where you applied through one, it is the source of your application

We never sell your data and never share it with third parties for marketing. If we consider you for a role with a client, we share your profile with that client only after talking with you.

How Long We Keep It

Different parts of your application are kept for different lengths of time. Every deletion below happens automatically on a monthly schedule.

• Your full application (resume, cover letter, answers, profile, recording links, pre-screen answers and AI review): 12 months after our last contact with you. If you tick "Keep my profile on file for future roles" on the form, or choose that on the link in our first email to you, we keep it for up to 36 months instead so we can consider you for other roles. You can undo that choice at any time.
• Your applicant history: after the full application is deleted we keep a short record for up to 84 months (7 years): a one-way code made from your email address, the roles you applied for, the dates, the stage you reached, the outcome, the reason code, and any ratings. For people who accepted this notice (September 2026 or later) the record also holds your name, a one-line work history (employer, title, years) and reviewer notes, so a returning applicant can be recognized and does not start from zero. For people who applied under the earlier notice, the record holds no name and no notes.
• Drafts you start but never submit: deleted after 90 days.
• If you join our community or are placed with a client, we keep your data for as long as that relationship lasts, and placed operators for 36 months after it ends for contract and payroll reasons.

If you applied before September 2026, the 12-month window you agreed to still applies to you unless you choose to keep your profile on file. Deleting your data removes your resume, profile, answers, and contact details. We keep only an anonymized record that an application existed, plus the one-way code of your email address so a job-board re-import cannot bring your data back, and the country and channel of the application for the fairness check above.

Your Rights

You can ask us at any time to see the data we hold about you, correct it, or delete it. You can also withdraw your consent, which we treat as a deletion request. We respond within 30 days and there is no charge. A deletion request removes everything, including your applicant history. If we emailed you a data link, you can use it to delete your data yourself, immediately, without writing to us.
